These Terms and Conditions govern the organisation of language study trips in Toulouse or in any other destination offered by HL. The Services may include in particular: ● Language courses ● Workshops ● Cultural and leisure activities ● Excursions ● Transportation ● Transfers ● Accommodation (host family, residence, hotel, etc.) ● Meals ● Educational supervision The exact nature of the services is defined in the signed quotation.
All services are subject to a quotation. The booking becomes firm and binding upon receipt of: ● the signed quotation marked “Approved” ● And the payment of a 50% deposit Any subsequent modification must be confirmed through a written amendment.
Prices are expressed in euros, both excluding taxes (VAT excluded) and including taxes (VAT included). Only the services explicitly listed in the quotation are included. If certain services (accommodation, transfers, excursions, etc.) are excluded from the quotation, HL shall bear no responsibility for them.
● 50% deposit upon confirmation ● Balance payable no later than 30 calendar days before arrival Failure to pay the balance by the due date may result in: ● Suspension of reservations with partners ● Inability to guarantee services ● Activation of the cancellation clause set out in Article 8 HL nevertheless reserves the right to grant an exceptional extension.
A flat administrative fee of €250 per group will apply in the event of: ● Full cancellation ● Visa refusal ● Substantial modification These fees cover administrative processing, partner coordination, and management costs.
The number of participants may be adjusted up to 30 calendar days before arrival. A minimum of 5 participants is required unless otherwise agreed. In the event of a significant reduction affecting the economic balance of the quotation: HL reserves the right: ● to maintain the initial price, or ● to revise the unit price Any reduction occurring less than 30 days before arrival may result in penalties equivalent to those charged to HL by its partners.
Any cancellation must be notified in writing. The following scale applies: ● More than 30 days before arrival: refund excluding administrative fees (€250) ● Between 30 and 15 days: 60% of the total amount + administrative fees ● Less than 15 days: 75% of the total amount + administrative fees These amounts constitute compensation justified by HL’s contractual commitments with its partners.
In the event of cancellation of one or more participants without cancellation of the entire group: ● More than 30 days: full refund ● Between 30 and 15 days: 60% of the individual price + proportional individual administrative fees ● Less than 15 days: 75% of the individual price + administrative fees
The extra-pedagogical supervision and discipline of minors remain exclusively the responsibility of the group leaders designated by the Client. HL is responsible only for: ● pedagogical supervision during classes ● organisation of the activities included in the program Free time and movements not supervised by HL remain the responsibility of the Client and its group leaders.
Where accommodation is included, HL acts as an intermediary. Accommodation partners remain legally responsible for their services. HL is bound by a best-efforts obligation. In the event of difficulties: ● The Client must inform HL without delay ● HL will contact the partner ● A reasonable solution will be sought Early departure of a participant does not entitle the Client to any refund.
HL may provide an invitation letter. Obtaining a visa remains solely the responsibility of the Client and the participants. In case of visa refusal: Amounts paid will be refunded minus proportional administrative fees and any penalties charged to HL by its partners.
In the event of force majeure within the meaning of Article 1218 of the French Civil Code: ● If HL’s partners charge no penalty, the amounts received will be refunded. ● If partners apply penalties to HL, these will be deducted from the refund. HL may propose a postponement or an alternative programme where possible.
HL is bound by a best-efforts obligation. HL’s total liability is limited to the amount actually paid by the Client for the relevant stay. HL shall not be liable for: ● indirect damages ● loss of business ● decisions made by the Client ● actions committed by third parties
The Client guarantees that each participant holds valid civil liability insurance. HL cannot be held responsible in the event of lack of insurance coverage for participants.
These General Terms and Conditions are governed by French law. In the event of a dispute: ● An amicable solution will be sought as a priority ● Failing that, the courts of Toulouse shall have exclusive jurisdiction These Terms and Conditions may be drafted in French and English. In case of divergence of interpretation, the French version shall prevail.
